Blank: I’d like to book a single room for April 10th.
Clerk: Certainly, sir. How long would you be staying?
Blank: Three days.
Clerk: What’s your room preference, smoking or non-smoking?
Blank: Non-smoking. Er... I would appreciate it if you could give me a room with a good view over the city.
Clerk: Hold on for a moment. I’ll check what we have available. (After a while.) Thank you for waiting, sir. We have one single room on the 8th floor with a really splendid view.
Blank: Fine. What’s your room rate per night?
Clerk: It’s $225. This price includes service charge and value-added tax, but breakfast is not included. Will that be all right?
Blank: That’s a little bit higher than I thought. Do you have rooms that are cheaper than that?
Clerk: Wait a minute, please. Yes, there are two single rooms on the 2nd floor. They are smaller though. The one with a front view is $165 per night, the other one with a rearview is $155 per night. Both include breakfast. Which one do you prefer?
Blank: What amenities does the room offer?
Clerk: There is a cable TV, coffee and tea making facilities, a bathrobe and bath slippers, a separate toilet and shower stall, free Wi-Fi, and 24h room service.
Blank: Sounds great. I will take the one with a front view.
Clerk: OK, the room number is 2018. Could you tell me in whose name the reservation was made?
Blank: In the name of June Blank.
Clerk: Let me make sure I got that: Mr. June Blank, Room 2018 for April 10th, 11th, and 12th. Is that right?

注意:它的肯定回答多用“Yes, please. / Yes, I’d (We’d) like (love) to. / Certainly. / Yes, thank you.”等;否定回答常用“No, thanks. / No, thank you.”等。

Li: Your hotel is Shangri-la in Pudong. You will find that it is located in the heart of Pudong’s commercial district.
Smith: That’ll be very convenient for me. And I like the service of Shangri-la Hotel.
Li: Now here we are. Let’s check-in.
(They two go over to the reception desk.)
Clerk: Yes? May I help you?
Li: I have booked a single room in the name of Mike Smith.
Clerk: (Turn to Smith.) Your passport, please. We need to fill out the registration form. Sign your name at the bottom of the form.
Smith: Here it is.
Clerk: Thank you. (Typewriting on the computer.) Name, nationality, occupation, and passport number. (Printed the form and handed it over to Smith.) Please sign your name on the bottom line.
(Smith signed and returned it to the clerk.)
Clerk: Thank you. Your room number is 2216, on the 22nd floor of Pudong Building. Here is your room card.
Smith: When is room service available?
Clerk: We have 24h room service. You may call us anytime you need help. We have a number of good restaurants, including Chinese, western, and Korean. Breakfast will be served from 6:00 am to 10:30 am on the second floor of Zijin Building.
Smith: Do you have a swimming pool and fitness center?
Clerk: Yes, we do. There are two swimming pools. One is in the Zijin Building, the other is in the Pujiang Building. Both are on the ground floor. The fitness center is on the 15th floor of Pujiang Building. They are free for our guests. You can enter the swimming pool and the fitness center by showing your room card.
Smith: Terrific! Thank you.
Clerk: The elevators are over there. Please take elevator B to the 22nd floor. Enjoy your stay here, sir.

Li: This is your room, 2216.
Smith: It looks great! It’s so spacious and bright. Oh, look at the beautiful sight outside the window! Li, is that Huangpu River?
Li: Yes. And the Bund of Shanghai. There are many famous buildings around here, and many places of historical interest and scenic beauty, such as the Oriental Pearl TV Tower. I’ll show you around while you are staying here.
Smith: That’s fantastic. Thank you very much for everything you’ve done. This is much better than I expected.
Li: Mr. Smith, we’ve made a two-day schedule for you. Shall I show it to you and see if everything is OK?
Smith: Yes, please.
Li: Tomorrow morning, we’ll have a meeting to discuss the terms and conditions of Sales Contract No. 1311. In the afternoon, we will take you to visit the factory. Next morning, we plan to meet the bank officers of Bank of China. They are assessing our loan application and want to get further information about the contract between us. Then we’ll take a city tour in the afternoon and have some entertainment activities in the evening. In the morning of the following day, we’ll send you off to the airport.
Smith: Sounds good to me. You’ve taken everything into consideration.

Background Knowledge
酒店与服务
企业经营管理人员出差旅行时都需要选择合适的酒店来住宿。一般来说,不同级别的人员享受的住宿待遇不同。各企业也会根据自身的财务管理办法或出于企业对外形象与发展定位的考虑而对出差人员住宿的酒店有一些规定。商务人员办理住宿时也要了解酒店的服务项目、入住与结账的手续、入住酒店的行为规范等。
(一)酒店的分类
按照接待功能或经营特色来分类,酒店大体上有商务酒店、度假酒店、会议酒店、长住酒店、汽车酒店和经济型酒店等。
(1)商务酒店(Commercial Hotel)是以商务客人为主要服务对象的酒店,其在地理位置、酒店设施、服务项目和价格等方面都以商务为出发点。酒店大多设在市里较繁华的商业区、市中心等。酒店外观比较漂亮、现代,内部装修豪华考究,房间设施齐全,酒店服务项目多、种类全,住宿、餐饮、会议、娱乐、健身、送餐、洗衣等各项服务都能提供。
(2)度假酒店(Resort Hotel)主要接待以旅游度假为出行目的的客人。因此这类酒店多设立于一些著名的旅游城市,并且位于当地名胜风景区内。除提供常规酒店服务,度假酒店更注重提供各种娱乐、健身服务项目,并且设施也都比较齐全和先进。为吸引更多的客源,许多度假酒店也在会议设施上进行改善和加强,把会议服务和度假服务结合起来,从而增加营业收入。
(3)会议酒店(Conference Hotel)主要以接待会议团体为主,通常位于知名城市或旅游城市。这类酒店主要的特点是可提供各种规模的会议厅或会议室、展览厅、演讲厅和洽谈室等,音响设施好,投影、录放像、扩音等设备齐全。有的酒店还配备同声翻译装置,使之具备接待国际会议的能力。
(4)长住型酒店(Residential Hotel)以接待长期租用的商户、企业或个人为主。一般租户会与酒店签长期租房协议,写明租用的时间和需要酒店提供的服务项目。这类酒店分为两类:一类以机构为主要租客,收费较高,对通信设备和交通等都有一定的要求;另一类以外地来的工作人员和家属为主要租客,提供住宿,也会提供洗衣机、电冰箱、彩电、微波炉等家用电器,收费比较低。还有一些酒店把内部改造成公寓(公寓式酒店),提供两室一厅或三室一厅的户型,客房内设有厨房并提供厨具。同时酒店还设有商务中心、阅览室、健身房等。
(5)汽车酒店(Motels)在西方国家比较常见,在我国台湾也有。这类酒店主要接待自己开车旅游的人。酒店以平房为主,入户门旁边有停车的空地。客房设施一应俱全,规格视汽车酒店档次高低而定。多数汽车酒店以提供便利、低价格服务为主,规模比较小,也有一些汽车酒店设施高档豪华。
(6)经济型酒店(Economical Hotel)多招待普通的出差人员或旅行者,价格较低、服务方便快捷、经济实惠。比如一些连锁酒店、快捷酒店等都属于这一类型。这类酒店房间较多,房间的空间一般不大,但也都有洗浴、电话、电视、空调、网络等各种设施,既能满足出行者住宿的各种需要,价格又比较合理易于接受。同时在各个大中城市的繁华地段都设有分店,每个分店的服务都是统一标准化的。比如7天、汉庭、如家、速8等快捷酒店都受到广泛欢迎。
(二)酒店服务
1. 前厅服务(Front Office Services)
酒店前厅又称为总服务台,主要是负责推销酒店产品与服务、组织接待、进行业务调度。具体而言,前厅服务主要包括接待客人、为客人办理入住及结账手续、为客人介绍和分配客房、介绍餐饮、提供其他综合服务(如邮件、问讯、出租车、机场或车站接送)等。
前厅服务部门的构成主要有:①前台(Front Desk),主要负责接待和安排入住。②礼宾部(Concierge Desk),负责出售纪念品等。③商务中心(Business Center),可以发送传真、会客等。此外还提供客房预订(Room Reservation)、货币兑换(Currency Exchange)、收银(Cashier Counter)、留言服务(Message Service)、电梯(Elevators)等服务。
2. 客房服务(Housekeeping Services)
提供客房服务是各类酒店最基本和主要的业务,不同类型或级别的酒店在房间布局设置上都各不相同。房间的类型一般包括单人间、标准间、大床房或双床房、家庭房、商务房、豪华套房、行政房或其他风格各异的客房。每个客房都会配备一些基本的用品(Room Amenities),如盥洗用品(Toiletries)、空调系统(Air-conditioning & Heating)、电源(Electricity)、吹风机(Hairdryer)、电视(Television)、电话(Telephone)、网络(Internet Connection or Wi-Fi)、电水壶(Electric Kettle)等以满足客人的生活需要。有的酒店还会提供洗衣服务(Laundry Service)、擦鞋服务(Shoeshine Service)、报纸送阅(Newspaper Service)、叫醒服务(Wake-up Service)等。
3. 餐饮服务(Food and Beverage Services)
大多数酒店都会提供餐饮服务,级别越高的酒店提供的餐饮服务项目会越多,一般会包括中餐(Chinese Restaurant)、西餐(Western Restaurant)、日餐(Japanese Restaurant)、咖啡苑(Cafe)、美食店(Gourmet Corner)、风味餐(Specialty Restaurant)以及大堂酒廊(Lobby Lounge)等。有的餐厅可以24小时营业,客人可以按自己的喜好或需要来选择用餐。有的酒店还能够提供送餐服务(Room Service)。此外,高档酒店还设有可容纳上百人的宴会大厅,提供大型宴请服务(Banquet Service)。经济型酒店(如快捷酒店)一般只有一个餐厅来为客人提供早、中、晚餐,或者不设餐厅。
4. 会议服务(Conference Services)
高档的酒店,特别是会议酒店设有多个风格各异的会议厅和多功能厅,配备舞台(Stage)、麦克风设备(Microphone System)、多媒体投放仪(Slide Projector)、音响设备(AV Equipment)、照明设施(Lighting Sets)、激光笔(Laser Beam Pointer)、高速网络接口(High-speed Internet Access)等会议设施。
5. 娱乐及其他服务(Recreation and Other Services)
高档的酒店会设立各种娱乐室,如KTV娱乐中心(KTV Entertainment Center)、健身中心(Fitness Center / Gymnasium)、游泳池(Swimming Pool)、棋牌室(Chess Room)等供客人娱乐健身,也会设立一些美发厅(Beauty Salon & Hair Salon)、桑拿中心(Sauna Center)、精品商场(Boutique)等为客人提供生活服务。
(三)酒店住宿手续
1. 预订(Reserve)
为确保可以按时顺利入住,一般可以通过电话、网络或到酒店前台预订房间。在当今网络非常发达的条件下,通过一些知名的提供旅行服务的网站如携程网、艺龙网、去哪儿网等或在酒店网页上预订房间是非常方便的。既可以在网上了解房间的设施、酒店的服务、周边的交通等情况,也可以对不同酒店的价格进行比较。通过住店客人的评分和评论,可以了解该酒店的服务情况、舒适度和出行方便与否等。如果提前若干天预订房间,还会有更好的价格优惠。根据商家的要求,有的房间需要预付价款(Prepayment)或支付担保金(Deposit / Earnest),两者都可以通过网上操作来实现。其中担保金支付一般用信用卡或银行借记卡来完成。酒店一般也会为不同类型的客房提供可取消或限时取消预订的便利。
2. 入住(Check-in)
到酒店办理入住时都会要求客人提供有效证件如身份证(ID Card)、护照(Passport)。国内酒店一般需要交住宿担保金;如果网上预订时已经支付或担保,就不需要交担保金。在前台人员安排好房间后,客人可持钥匙或房卡(Room Key / Card)入住房间;有的酒店可以输入密码开锁。入住房间后,要先看好房间里的用品哪些是免费的,哪些是收费的。在使用时尽量保持卫生,避免损坏物品。在西方国家酒店住宿时,对单独的服务要给酒店服务人员小费,例如在结账离开时,应在枕头上放1~2美元的小费,意为对服务员收拾房间表示感谢。
3. 退房(Check-out)
客人需要在酒店规定的退房时间办理结账退房手续,这个时间一般在中午12:00之前。国外有的酒店的退房时间则在上午10:00或11:00之前。结账的方式可以是现金(Cash)、银行卡(Debit Card / Credit Card),或使用新兴的移动支付方式如支付宝(Alipay)或微信支付(WeChat Pay)。结账前酒店会对房间进行检查,如有损坏物品,就要在担保金中按价扣除。如果超过规定的结账时间,酒店会要求客人支付半价房款。有的酒店对会员或VIP客户提供延长退房时间的优惠,如延长至13:00或14:00退房。因此,如有经常出行的需要,可以先注册为酒店的会员,这样就可以享受各种优惠。
